Mid-afternoon is another sweet spot — right when the post-lunch slump hits, a fresh espresso can re-energize an entire room. Place the cart near the main gathering area or registration, somewhere visible that draws people in naturally.
For Private Parties & Showers
Baby showers, bridal showers, birthday parties, graduation celebrations — for these more intimate gatherings, we recommend serving throughout the event. Think seasonally. Wisconsin’s seasons give you a natural roadmap. Summer events call for iced lattes, cold brew, and refreshing drinks. Fall and winter events are the perfect time for warm spiced drinks, pumpkin spice or peppermint mochas, and cozy seasonal flavors that make guests feel right at home.

We handle most of the heavy lifting for our clients, but it helps to understand what goes into the setup so you can communicate with your venue and other vendors.
• Power: Most mobile espresso setups need access to three standard electrical outlets, two of those being dedicated circuits. . Always confirm power availability with your venue ahead of time.
• Space: A mobile coffee cart typically needs about 5–8 feet of space. We bring everything self-contained, so you don’t need to worry about a water source or extra tables.
• Setup time: Plan for your coffee vendor to arrive 1-2 hours before service begins. If possible we love to come set up the night before so if there are any potential roadblocks we can address them then instead of right before the event! Arriving early gives time to set up the machine, dial in the espresso, and make sure everything is perfect before the first guest arrives.
Step 4: Make It Personal
The details are what take a coffee bar from “nice addition” to “wow, that was incredible.” Here are some of the personal touches we’ve seen make the biggest impact at events we’ve catered across Wisconsin.

This service we offer comes at an additional charge but adds a special touch.
Coordinate with your other vendors. If you’re planning a wedding, let your planner, photographer, and florist know about the coffee bar. They can incorporate it into the timeline, capture great photos of guests enjoying their drinks, and even add floral accents to the cart. Collaboration between vendors creates a more cohesive, polished event.
Questions We Get Asked All the Time
“How far in advance should I book?” As early as possible, especially for peak wedding season (May through October in Wisconsin) or around the holidays. Popular dates can fill up months in advance. We recommend reaching out at least 2–3 months ahead, though 6+ months is ideal for weddings.
“Do you travel outside the Fox Valley?” Absolutely. “What if some of my guests don’t drink coffee?” We’ve got them covered. Our menu can always includes non-coffee options like hot chocolate, chai, teas, and steamers. No one gets left out.
